How to automate your alerts workflow through Zapier, step by step with examples

1. What is Zapier?

Zapier is a tool that allows you to automate workflows between different applications such as Email, Google and Microsoft. PEAK Alerts can be sent to specific individuals or into other applications you already use to enable quick turnaround on new alerts and transparency within your team.

2. Who can use it?

This integration is available to all client users in premium sites. Please contact your CIM account manager or CIM support if you are in doubt. If you are on multiple sites with different tiers, you will only be able to create workflows for your premium sites.

Contractor users do not have access to this feature, but client users can set up workflows for everyone (e.g. send an email for every alert to both my mechanical and BMS contractors).

3. Accessing Zapier

To access Zapier, login to PEAK and go to Integrations, under the Account section. We have prepared a few templates to simplify the process for you. Click on any of them to start setting up your workflow automation (don’t worry if you can’t find a suitable workflow, you can create your own custom one later on). Go through Zapier’s signup process and you will land on the Zap page where you can finish setting up your chosen workflow. See below for a step by step of our most popular templates.

4. Step by Step: Email Individuals for New Alerts

Use this workflow to notify individuals of any new alerts as soon as they occur.

CIM Integrations

  1. In your PEAK Integrations page, click Send emails for new CIM alerts, you will be taken to the Zapier setup page

Zapier Trigger - Alert in CIM

  1. Login to your PEAK Account and click Continue

  2. Under “Trigger”, pick your site/s

  3. Click Test trigger and click Continue with selected record once an alert has been found

Zapier Action - Email

  1. For “To”, type in the email addresses of your chosen recipients separated by commas

  2. Click Continue at the bottom of the page, then Test Action

  3. If you entered your own email in step 5, you should receive an alert email in your inbox

  4. Go back to the Zapier setup page and click Publish to activate the workflow

  5. Congratulations! You've now linked your PEAK alerts to emails!

5. Step by Step: Broadcast New Alerts into Shared Teams Channel

Use this workflow to send messages into a Microsoft Teams channel of your choice to broadcast alerts to the rest of your team and allow them to collaborate with you.

  1. Before we go into PEAK, open your Microsoft Teams app and navigate to Apps

  2. Search for Zapier in the search field at the top left of the window, and click on the Zapier icon once you find it

  3. Click on the drop down button next to Add, and click Add to a team

  1. Pick a team channel, you can select existing channels or create your own, your Teams app is ready to integrate with PEAK now

  2. In your PEAK Integrations page, click Send messages to Microsoft Teams Channels for new CIM alerts, you will be taken to the Zapier setup page

  3. Login to your PEAK Account and click Continue

  4. Under “Trigger”, pick your site/s

  1. Click Test trigger and click Continue with selected record once an alert has been found

  2. Moving on to the step 2, start by logging in to your Microsoft Teams account, click Continue

  3. Under “Action”, first pick your Team, followed by the Channel where you previously added the Zapier bot

  1. Click Continue at the bottom of the page, then Test Action

  2. You should receive a test alert message in your chosen channel

  3. Go back to the Zapier setup page and click Publish to activate the workflow

  4. Congratulations! You've now linked your PEAK alerts to Microsoft Teams! Invite any team members you want to keep in the loop to that channel

6. Step by Step: Send WhatsApp Notifications for new CIM alerts

Use this workflow to send yourself WhatsApp notifications to your mobile phone when new CIM alerts are created.

CIM Integrations

  1. In your PEAK Integrations page, click Send WhatsApp Notifications for new CIM alerts, you will be taken to the Zapier setup page

Zapier Trigger - Alert in CIM

  1. Login to your PEAK Account and click Continue

  2. Under Trigger, pick your site/s

  3. Click Test trigger and click Continue with selected record once an alert has been found

Zapier Action - WhatsApp

  1. Under Account click the button Connect a new account and then Continue

  1. Enter your WhatsApp mobile number using the + country code followed by the phone number. For example +61442424242

  2. Click Send Pin to receive your WhatsApp verification code on your mobile. You should receive a new message from Zapier with the code

  3. Enter your verification code and click Yes, Continue to WhatsApp Notifications

  1. Under Account click Continue and test sending a WhatsApp message

  2. Click Publish and name your Zap to set it live

  3. Check your WhatsApp mobile to confirm that you have received the CIM alert

Zapier WhatsApp notifications is in beta mode and subject to change. WhatsApp messages cannot be sent to WhatsApp groups. Rate limits can apply to excessive alerts sent via WhatsApp.
